
Terms & Conditions – FITs and Groups (2025/2026)
Rates and conditions are valid for Straand Hotel AS. FIT’s and groups, leisure only. Not valid for meeting, incentive, conference, event and corporate groups. These agreed rates should be packaged and must never be shown separate. A FIT booking can consist of maximum 9 rooms. A Group booking consists of 10 rooms or more.
Subject to changes in official regulations, including the possible introduction of local tourist tax or other taxes and fees imposed by Norwegian authorities.
1. Group reservations
Group reservations and all FIT bookings must be made directly with the hotel. State your company with Customer Name and Customer ID when making a request. This information is on the front page of the contract.
2. Rates
All rates are net and non-commissionable and valid for FITs and groups staying overnight at the hotel. Rates are subject to change if the rate of Value Added Tax is amended or if any new taxes or levies are introduced which has impact on the Hotel Business. All rates are in local currency and all payments must be received in the corresponding currency. The client is responsible for bank transfer charges and loss of costs relating to this. All rates are based on a maximum of 30% single rooms per group.
These agreed rates should be packaged and must never be shown separate.
3. Free policy, groups only. Driver always free of charge
1 free place in single room or a half double, (*when no single room in the group) is offered for min. 15 paying guests, 2 free single rooms or 1 double room* are offered for min. 30 paying guests. and 3 free single rooms or up to 3 half doubles* are offered for min. 45 paying guests. Max. 3 free rooms per group. Free places also apply for lunch and dinner groups as well as for other services as luggage handling and breakfast boxes.
4. Children’s policy
Children up to the age of 9 sleep for free in parent’s bed. The rate for baby cot NOK 150. If an extra bed for a child is requested the rate is according to the rate list. Children between 6 and 12 years of age have 50 % discount on food. Children above the age of 12 are charged for food according to the rate list. Breakfast included.
5. Half board
Type of meals to be included (dinner/lunch/buffet) must be settled with the hotel in advance. Obtainable ingredients and occupancy will influence the hotel’s decision. An additional cost may apply for special meal requests.
An upgraded dinner service can be offered for groups with more than 20 paying guests with an additional cost.
6. Lunch box
Advance booking is required with an additional cost.
7. Luggage handling / Check-in/out
Luggage handling is available for groups only and always on request. Rate according to contract. Check-in after 15:00 CET. Check-out latest 11:00 CET. Cancellation is free of charge until one week prior to service date for check-in/out. Later cancellations and no show will be charged 100%.

Rate according to contract.
9. Payment conditions
* PAYMENT BY INVOICE
Payment against invoice. According to our current Credit Policy we reserve the right to make a credit check at any time. The full payment must be settled within 14 days of invoice date. If the operator fails to comply with the terms of payment, the hotel may suspend all credit facilities. If the operator continues to withhold payment after this notification, the hotel reserves the right to cancel all bookings. The hotel will make every endeavor to provide correct invoices, but failure to do so will not constitute grounds for non-payment. On all outstanding amounts, the hotel reserves the right to charge interest rate according to the Norwegian Act on interest of delayed payment.
PAYMENT FOR NEW CLIENTS
The hotel reserve the rights to get 50% prepayment 14 days before guests arrivals and the last 50% no later then the arrival date with new clients.
10. Cancellation
All group and FIT cancellations must be notified to the hotel in writing by e-mail and followed up for confirmation. In the case of a «no show» the hotel will charge 100 % of the agreed contract rate including all pre-ordered meals, for the number of guests originally stipulated. A hotel can charge up to three nights for a late cancellation or a «no show».
FITs: must be cancelled latest at 16.00 CET on arrival day, for up to two rooms, free of charge. Three rooms and up to nine rooms must be cancelled latest 72 hours before arrival date.
GROUPS: Free cancellation latest 6 weeks prior to the arrival date. The booking status at 6 weeks before arrival will be considered as the «original group booking». The original group booking can be reduced free of charge by maximum 20% until 12 days before arrival. A higher cancellation percentage and later cancellations will be charged 100%.
Last-minute-booking special: Reservations for groups made less than 6 weeks prior to arrival can be cancelled up until 21 days before the arrival date at no charge. Later cancellations will be charged 100%.
Lunch and dinner: Cancellation is free of charge for lunch or dinner groups without accommodation 10 days prior to the arrival date. If the booking is cancelled or the reported number of lunch or dinner guests is reduced by more than 20% later than 10 days prior to arrival, 80% of agreed contracted price for the originally group booking will be charged. In the case of a lunch or dinner «no show» the hotel will charge 100% of the agreed contract rate, for the number of guests originally stipulated.
11. Accommodation
The hotel reserves the right to use a hotel of the same or higher category in the same area in the unlikely event of not being able to accommodate the reservation. The hotel will communicate this to the client at the earliest possible date. The hotel will not pay or provide any extra services other then agreed in the contract, if it has to move a group booked at the hotel.
12. Driver & guide
All hotels offer one free beverage with the driver and guide meals. Will get a coupon by check in. Not valid at external restaurants.
13. Rooming list
Number of guests and rooms should be sent to the hotel no later than 28 days prior to arrival. A final rooming list must be sent to the hotel 14 days prior to arrival at the latest. Other conditions must be agreed with the hotel directly.
14. Close-out dates
Close-out dates mentioned in the agreement are valid at time of issue of contract. Dates can be added and removed during the year. Please contact the hotel directly for current close-out dates.
15. Extra accounts
The operator’s clients must settle all accounts upon departure for items not covered by the voucher. When failed to do so the representatives of the operator must make every endeavor to assist the hotel in collecting the money due.
16. Allotments
Should the operator fail to take up less than 50% of its allotment for a period of more than 28 days, the hotel reserves the right to cancel or reduce the allotment to the average amount used the preceding 28 days unless otherwise is specified in contract.
17. Complaints
If the service does not meet the agreed standard a dialogue must be initiated directly between the hotel and the customer. The contract is governed by the laws applicable to where the hotel is located.
18. Force Majeure
Strikes, lockouts, fire, failure of deliveries or suppliers or any other circumstance beyond the control of the hotel, shall entitle the hotel to terminate the agreement without paying the client/agent damages or compensation of any kind.
19. Others
The terms and conditions under this contract may not be assigned or disclosed to any other third party without written consent. In particular the rates given are not to be quoted to any other operator, hotel, company or individual. If the operator fails to comply with the above terms and conditions, the hotel reserves the right to terminate the contract at any time. This will not prejudice any other rights available to the hotel. No waiver is to be implied if the hotel fails to enforce any terms or conditions of this contract. General Data Protection Regulation (GDPR)
1. Intention
This addendum describes the roles and responsibilities of the parties in terms of privacy and the introduction of a new EU / EEA regulatory framework: the General Data Protection Regulation (hereinafter referred to as the GDPR and / or Regulation) of 25 May 2018.
2. Contract parties’ roles
Personal data is required to full fill the intention of the contract. Thus, the parties will each be individually responsible and process personal data in accordance with applicable laws and regulations. In order to fulfill the contract, the customer as Data Controller will transfer personal data to the hotel, as Data Controller.
3. Definition of personal data
Personal data means data communicated by the customer in connection with fullfillment of the intention of the contract: the purchase of hotel services. This includes employees and guests who use the framework agreement and are provided by the customer in connection with the purchase of accommodation, courses / conferences, events and more.
4. Responsibilities and duties of the contract parties
4.1. Customer’s duties
The customer must provide the personal data required to complete an order and full fill the intention of the contract. Examples of such data are name, phone, email, special requirements and preferences. Such data may also include sensitive personal data (such as allergies, particular dietary requirements, religious inclination, special needs, memberships of organizations, etc.). The supplier should handle sensitive personal data with particular care.
4.2. Straand Hotel AS’s duties
Straand Hotel AS is obliged to process personal data pursuant to the Regulation and to have the necessary procedures and technical solutions to ensure that such data is processed correctly and, as far as possible, protect data against breach of confidentiality, integrity and availability (security of the personal data), and against other breaches of the Regulation.
4.3. Straand Hotel AS’s use of personal data
Must be limited to the purpose for which the data is intended and / or fulfillment within the framework agreements intention and purpose.
4.4. Deviation
In case of any deviation that may result in a possible breach of security of the personal data, Straand Hotel AS is obliged to inform the customer as quickly as possible to aid the prevention/limitation of harm in cooperation with the customer.
